Why Are Updates Important to Our Agency?
The phone rings and the person on the line says, “Hello, this is Jessica with the Child Care Resource & Referral Office and I am calling to update your vacancies.” You probably think, “Oh, great. Here we go again” or you may wonder, “Why all the questions?” or “Didn’t I just do this a few months ago.” The answer is yes, you probably did just have your vacancies updated only a few months ago. However, we are required to update vacancies on all facilities on a quarterly basis. This ensures that our database is accurate and that we give accurate referrals to parents when they call us looking for care.
So, why all of the questions you ask? Rates, enrollment, level of education, CPR & First Aid, are you an SRS provider, how many in-service hours have you had, etc. Though it may seem like useless information to you, to us, our funders and to some extent, parents, it is very important!
How is the information used?
The information that we collect is used for many different things, but the biggest reason is for funding. KACCRRA uses the data that we collect when applying for grants. These grants are then used to fund programs to assist Early Childhood Professionals. Programs such as KQRS, EXCEL, Healthy Kansas Kids, TEACH, and WAGE$, are all programs that are grant funded.
Resource & Referral agencies are also funded through SRS, therefore SRS often asks us for data. Every 2 years, SRS asks us for a rate survey. This information is then used to decide whether or not to increase rates for SRS child care providers. Because of this, it is very important that we always have accurate rate information on all child care facilities.
There are numerous other ways in which our data is used. For instance, our data is used to evaluate the areas across the state where there is an increased need for care, and also for what ages of children. They also use our enrollment data to evaluate how many children there are in child care across the state. In short, all of the information we ask for is so that we can better serve the needs of early childhood professionals.
What we DON'T do with the information.
Some may be concerned about the amount and nature of the information that we ask for. Please be reassured that all the private information that we ask for is kept confidential. There are no names tied to the data that we provide to our funders and in our applications for grants, it is only data. Another concern among providers is that their name is being given out to anyone who asks. This is not true! The only people that are provided with contact information for your facility are parents who contact us looking for child care. Referrals will only be given for your facility if you give us permission and you have vacancies.
